An Algorithm to End the Lines for Ice at Burning Man
Any gathering of 65,000 people in the desert is going to require some major infrastructure to maintain health and sanity. At Burning Man, some of that infrastructure is devoted to a supply chain for ice. Writes Bennett Haselton, The lines for ice bags at Burning Man could be cut from an hour long at peak times, to about five minutes, by making one small... Well, read the description below of how they do things now, and see if the same suggested change occurs to you. I'm curious whether it's the kind of idea that is more obvious to students of computer science who think algorithmically, or if it's something that could occur to anyone. During peak times last year, the lines were up to an hour long. This year, so I heard, the lines on the first day were even worse, because two of the three distribution points were unable to open due to closed roads, so everybody lined up at the only sales tent that was operating.
Regardless of the conditions, the procedure when you get to the front of the line is the same. You specify how many bags of ice you want, and deposit cash in a container on the counter. Then a volunteer walks back to the ice truck to fetch one or more bags from the truck and brings them back to the counter. You collect your bags and continue on your way.
OK, before reading any further -- based on what I just wrote, can you think of a way to speed up the line? No cheating -- read the preceding paragraph and think of what you might do differently. Spoilers follow!
The thought that occurred to me almost immediately after I got my bag of ice, was: Why not just have the volunteers carry the bags of ice from the truck to the counter, before people place their order? As long as the line is moving, no bag of ice would sit on the counter long enough to melt. And then each transaction at the front of the line would be reduced to: Customer pays for bag(s), customer picks up bag(s) and leaves. By eliminating the time to walk back to the truck and fetch the bag(s), the system would significantly reduce the per-customer transaction time.
I'd asked a handful of Burning Man veterans about this, and they said that Arctica had tried this at one point, but was required to stop by Nevada health code regulations, which treated ice as a "food product" and therefore said that it could not be moved out onto the counter until an order has been placed. This sounded puzzling to me -- don't cafés place other "food products" out on a counter all the time, where they can be bought and picked up by customers? And for the ice bags, why would it matter in practice anyway -- even if the state of Nevada is worried about germs starting to multiply as soon as the bag is removed from the refrigerated truck, the time the bag spends sitting on the counter is still negligible compared to the time the customer spends transporting it back to their own camp.
So I emailed the Nevada State Health Division to ask them what the regulations actually said, and if they would allow the ice vendors to load bags of ice onto their sales counter before they had been paid for by a customer. One of their Public Health Engineers replied and said, "I can assure you that we do not require the ice to remain in the truck until it is ordered" (and dryly added, "It is common for vendors to blame the health authority for imagined regulations"). Regarding the resulting long lines, he also advised me, in the spirit of Burning Man radical self-reliance (if not practicality), "You may consider bringing your own ice to the Playa rather than purchasing it from them."
So that's it. There's no regulatory reason why the ice can't be brought to the sales counter before it's paid for -- where it wouldn't even have time to start melting, if there are customers eagerly waiting to carry it away -- and no reason why the line couldn't probably move 5 to 10 times faster as a result. (I emailed Arctica to ask if they would start having volunteers bring ice bags up to the counter before customers place their orders, and showed them the email from the Nevada Health Division saying it would be legal. I received a very friendly reply, mostly asking me who I was and why I was concerned about the issue; I said I had no stake in the matter except hoping to reduce the wait times and hence the aggravation and health risks for people waiting in line in the sun. I have not received a reply to any subsequent inquiries after that.)
In a previous article I'd theorized about an algorithm for speeding up the vehicle exodus at Burning Man. (Basically, have a "priority lane" where cars can exit at different times of day, depending on the last character on their license plate. So one hour where the priority lane is set aside for cars whose license plates end in "A", another hour where the lane is used by cars with plates ending in "B", and so on. This means that drivers who want to use the priority lane, can just wait for the designated hour, instead of spending five hours queueing up to leave.) That was intended more of an intellectual exercise, as a jumping-off point for a discussion about which algorithms would work best under different theoretical assumptions, and with only the small possibility that it might ever actually be implemented at the real event.
The call to speed up the ice lines is not an intellectual exercise. Unless there's a non-obvious major problem with making this change, this is something that could be done the very next year, and would save people thousands of person-hours waiting in line in the sun.
My other suggestion would be to have a "turbo" line even faster than the main one, designed for people to complete each sales transaction in seconds. Every customer in the "turbo" line would be required to have exact change (or be willing to overpay and let the vendor keep the change), and every customer would be required to have their cash fanned out in their hand like playing cards when they got to the front of the line. (A volunteer could walk up and down near the front of the line to verify that people already had their cash displayed properly.) A transaction at the front of the line would simply consist of, "Three dollars -- bag", or, "Six dollars -- two bags", where the customer shows their fanned-out money, dumps it into the cash receptacle, and picks up one or more bags from the counter.
With or without the "turbo" line, at first it might seem like it would take extra labor to keep a supply of ice bags moving constantly from the truck to the counter, but that's not the case. For a given number of bags to be sold, every bag has to be moved from the truck, to the counter, exactly one time. So the total amount of labor is always going to be the same, for a fixed number of ice bags. To have a steady supply of ice moving quickly from the truck to the counter, you might need to have more volunteers working at the same time, but that just means that rather than having 5 volunteers with one-hour shifts spaced throughout the day, you'd have those same volunteers working simultaneously to keep the bags moving.
With the lines moving that much more quickly, what if the ice bags run out halfway through the day? Hopefully the vendor can just send the trucks back out to fetch more bags of ice to be brought back in and sold in the afternoon. But even if they can't -- even if, for some reason, the number of ice bags sold per day has to be fixed at X -- you've still done an enormous amount of good by reducing the wait time from 30-45 minutes to 5 minutes. Because you still sell the same number of ice bags, but you've eliminated the pointless deadweight loss of all the time the customers were previously wasting in line.
And if the vendors can bring in more ice whenever their existing stock sells out much faster, that's a win too -- regardless of whether they're selling the ice for profit or just for altruistic motives. If they're selling ice to help people, then selling more ice is better. If they're selling ice for profit, then selling more ice is better, too.
I'm being fairly pedantic here because I want to make it clear that I think that I think there's no counterargument to be made to this, under any combination of reasonable assumptions -- whether the vendors can bring in more ice or whether they're stuck selling a fixed number of bags per day; whether the goal of selling the ice is for altruism or to make a profit. Bring the ice out before it's paid for, shave the transaction time down to the bare minimum of the customer paying money and then grabbing their ice bags, and everyone will be grateful they don't have to wait an hour in the sun.
And if you're an adventurer thinking about going to Burning Man, my tips for making it (slightly) easier include bringing your own cooler (separate from any food storage cooler) so that you can buy a bag of ice each day, dump it in the cooler, and have your own supply of ice water. That's well worth it, whether the wait time in the ice line is five minutes or an hour.

Scroll a bit further down and you can find, asked and answered, the question that I thought of after reading about the five-hour waits, and it's worth quoting the whole thing:
Q. You should set up a system where people can register for a departure time and give them an "express" lane (or some version of a priority/regulated system). Those who miss their window or don't register would have to wait longer.
A. This suggestion has made its way to us every year for many, many years now. And on the surface it looks very attractive. But, as is usually the case, the devil is in the details. Here are the primary reasons we have not implemented a reservation-based Exodus system:- Such a system takes a lot of people power (e.g., people to verify departure times, people to direct traffic, people to enforce the system) and a lot of resources (e.g. a registration system, building secure lanes for 5 miles of Gate Road that would prevent people from jumping into the wrong section)...more than we currently have.
- Verifying registration would require slowing traffic before Gate Road, which will in turn slow down the rate at which people can get onto Gate Road. Without a significant redesign, traffic inside BRC could become gridlocked.
- One thing we have learned about Burning Man is people rarely stick to their intended timeline. Camp clean up took longer than planned, you stayed up really late the night before, it took a while to track down your passengers, you couldn't find your car keys, you just had to visit the ashes of the Man one more time, or myriad other possibilities that are so very common to the Burning Man experience. To get 50,000 people to stick to a specific window of time may very well be the most difficult part of this idea to solve.
- Another thing our Gate experience tells us is that verifying Exodus registrations and enforcing 'rules' will not be a cut-and-dried process. We will no doubt hear many stories (traffic to get from my camp at 2:00 was worse than I thought, but I really did leave in time! My camp-mate burned my registration slip in an offering to the Man but this really is my time window! I have a flight that leaves in a few hours, please I need to get out faster!). Each vehicle that pleads their case in turn holds up traffic for everyone else, and this ultimately will cause significant inefficiencies in the system.
- Remember how we said this type of system would require a lot more people power? Despite our calls for help from the community, we continue to struggle to find enough people to manage the bare basics of Exodus (e.g. highway flaggers). We understand that most people are tired by the end of the event, and many need to get home. However, in order for us to continue to evolve the Exodus process, we need YOUR help. We need volunteers to help run all parts of this process. Everything that happens in BRC is created entirely by its citizens, including Exodus.
Some of the above issues could be overcome, but taken all together a system like this in an environment like Burning Man would be complex and expensive to implement and considerably more difficult to run efficiently.
Bennett again. So I thought about this some more and wondered about a different idea: My question: Why not have a priority exodus line set aside for vehicles who leave during a designated time slot, based on the last digit of their license plate? So for example halfway through Burning Man, a random number or letter would be selected by the organizers — say, "T." During daylight hours on the last day, a priority exit lane is set up where from 6:00-6:30 AM, only vehicles with license plates ending in "T" can exit. Then from 6:30-7:00 AM, only vehicles with license plates ending in "U" can exit. And so on, until you've cycled through all the letters and numbers. (The initial letter in the cycle — in this case, T — would have to be selected after the event starts, to prevent people from gaming the system in advance, by bringing in vehicles with plates deliberately chosen to get an early exit time.) And then you have a second, longer line for everybody else who doesn't want to leave in their designated time slot.
This has a number of desirable features:

It avoids most of the problems described in the FAQ — you don't have to "create" a registration system, or stop cars in order to verify their registered departure time. All you need are observers for the priority exit lane watching to see that the cars in that lane have the correct last digit of their license plate. (Since all exiting cars are passing through the same bottleneck, you only really need one or two observing at a time to glance at license plates.) And if an observer spots a cheater, they don't have to throw their body in front of the vehicle, just radio ahead to tell someone further down the road that there's an unauthorized car in the priority exit line.

It's difficult to cheat. You could try to hack the system by bringing multiple sets of license plates to Burning Man and then, after the departure times have been announced, putting the earliest-departure license plate on your car. However, apart from the fact that this is illegal (which never stopped certain recreational activities at Burning Man, after all), there would be diminishing returns from loading up on too many extra license plates. If you want a guaranteed exit in the first 9 hours, then out of 36 sequential time slots, you'd only need 4 different license plates to guarantee an exit in one of the first 9 slots. But if you wanted a guaranteed exit in the first 3 hours, then you would need 12 different license plates, and so on.

Most importantly, and this is the whole point, would reduce the amount of time waiting in the exit line, for drivers that opted to use this system. Under the existing system, with a single queue that anyone can enter at any time, the queue grows to a length at which the inconvenience of the long wait is just barely outweighed by the desirability of getting out (an equilibrium which apparently sometimes causes the lines to grow to up to five hours). By dividing the population into segments by last digit of license number, those drivers are only queueing up with 1/36th of the rest of the population, and so can expect a faster exit time.
In the theory of queueing, if a population is sufficiently large, then when users are queueing for a desirable resource, the queue will grow until the cost of waiting in the queue is just barely outweighed by the benefits of the resource at the end of it. (Steven Landsburg explains in the opening chapter of The Armchair Economist that if a sufficiently large town opens a free aquarium, the line to get in will grow to the point where the inconvenience of the line exactly cancels out the benefits of the visit, so the benefit to the citizens' lives will be exactly zero.) Interestingly, this means that for the Burning Man exit queue, if you simply divide the queueing population in half — say, by allowing cars with even license plates to exit in the morning, and cars with odd license plates to exit in the afternoon — then you won't accomplish anything, because each half-size population will probably still be large enough that the queue grows to the point where the convenience of getting out just barely outweighs the inconvenience of waiting in line. It's not merely that dividing the population in half wouldn't accomplish as much as dividing it into 1/36th slices; it's that dividing the population in half would accomplish nothing at all. To make the queue shorter, you have to divide the population into sufficiently small slices that there is no longer a large enough population in each slice, to make the queue swell to the point of convenience-cancelling equilibrium. The simplest way I can think of to do that would be to split up the car population into 1/36th by last license plate digit.
It's important to note this does not actually increase the rate at which drivers can exit from Burning Man, which is actually a limit set by the Bureau of Land Management at 1,000 cars per hour. No algorithm can get around that limit. The algorithm only aims to reduce the amount of time that cars spend waiting in line to get out (in the hot sun, some with broken air conditioners). If you want to use the prioritized queue but you know that your time slot won't come around until 2 PM, you can spend the time until then exploring what's left of Burning Man, learning and making new friends, instead of getting in line at 10 AM just to get out by 2.
In any case, this isn't my problem, since I took the Burner Express bus in and out of Burning Man and would plan on doing it again. But while I was preparing last year, I went ahead and posted the question to ePlaya, the Burning Man message boards ("playa" being another word for dry lake and the nickname for the physical location of Burning Man). Some of the respondents were convinced that "Bennett Haselton" was an elaborate troll (you guys would get along), although I mostly got people saying, "The organizers have had years of experience doing this, why not wait and see it in person before trying to 'solve' it." Well, I was kind of asking for it, admitting that I had never been to Burning Man before, posting in a forum frequented by grizzled veterans, claiming that from my ivory tower on high, I had divined a solution to a problem that others had been working on for decades. (Of course, none of these are valid reasons why the idea is wrong.)
But anyway, I took the advice in the replies: as I was riding out of Burning Man in the Burner Express bus, I glanced out the window as we passed a mile of non-moving cars waiting to get out. I still don't know what I was supposed to see that would illustrate why the license plate prioritization system would a bad idea. What do you think? Or do you have a different idea?
Then again, maybe it doesn't matter how objectively "good" an idea is, if change is just plain hard. In another thread that I started after Burning Man was over, I said that the porta-potties seemed to work fine but that the dispensers next to the porta-potties, mounted on wooden stakes stuck into the ground, were almost always empty. They could easily attach more dispensers to the posts, or set up more posts (as long as the maintenance company kept replenishing the dispensers with the same frequency), at a cost that would be almost nothing relative to the cost of maintaining the porta-potties in the first place. Even that suggestion was met with fair bit of snark, although eventually someone gave me the email address where I could send feedback like that to the Burning Man organizers. So I sent the hand sanitizer suggestion to the feedback address, but don't hold your breath (except in the porta-potties).

So I thought about this some more and wondered about a different idea: My question: Why not have a priority exodus line set aside for vehicles who leave during a designated time slot, based on the last digit of their license plate? So for example halfway through Burning Man, a random number or letter would be selected by the organizers — say, "T." During daylight hours on the last day, a priority exit lane is set up where from 6:00-6:30 AM, only vehicles with license plates ending in "T" can exit. Then from 6:30-7:00 AM, only vehicles with license plates ending in "U" can exit. And so on, until you've cycled through all the letters and numbers. (The initial letter in the cycle — in this case, T — would have to be selected after the event starts, to prevent people from gaming the system in advance, by bringing in vehicles with plates deliberately chosen to get an early exit time.) And then you have a second, longer line for everybody else who doesn't want to leave in their designated time slot.
This has a number of desirable features:

It avoids most of the problems described in the FAQ — you don't have to "create" a registration system, or stop cars in order to verify their registered departure time. All you need are observers for the priority exit lane watching to see that the cars in that lane have the correct last digit of their license plate. If you want a guaranteed exit in the first 9 hours, then out of 36 sequential time slots, you'd only need 4 different license plates to guarantee an exit in one of the first 9 slots. But if you wanted a guaranteed exit in the first 3 hours, then you would need 12 different license plates, and so on.

Under the existing system, with a single queue that anyone can enter at any time, the queue grows to a length at which the inconvenience of the long wait is just barely outweighed by the desirability of getting out (an equilibrium which apparently sometimes causes the lines to grow to up to five hours). By dividing the population into segments by last digit of license number, those drivers are only queueing up with 1/36th of the rest of the population, and so can expect a faster exit time.
In the theory of queueing, if a population is sufficiently large, then when users are queueing for a desirable resource, the queue will grow until the cost of waiting in the queue is just barely outweighed by the benefits of the resource at the end of it. (Steven Landsburg explains in the opening chapter of The Armchair Economist that if a sufficiently large town opens a free aquarium, the line to get in will grow to the point where the inconvenience of the line exactly cancels out the benefits of the visit, so the benefit to the citizens' lives will be exactly zero.) Interestingly, this means that for the Burning Man exit queue, if you simply divide the queueing population in half — say, by allowing cars with even license plates to exit in the morning, and cars with odd license plates to exit in the afternoon — then you won't accomplish anything, because each half-size population will probably still be large enough that the queue grows to the point where the convenience of getting out just barely outweighs the inconvenience of waiting in line. It's not merely that dividing the population in half wouldn't accomplish as much as dividing it into 1/36th slices; it's that dividing the population in half would accomplish nothing at all. To make the queue shorter, you have to divide the population into sufficiently small slices that there is no longer a large enough population in each slice, to make the queue swell to the point of convenience-cancelling equilibrium. The simplest way I can think of to do that would be to split up the car population into 1/36th by last license plate digit.
It's important to note this does not actually increase the rate at which drivers can exit from Burning Man, which is actually a limit set by the Bureau of Land Management at 1,000 cars per hour. No algorithm can get around that limit. The algorithm only aims to reduce the amount of time that cars spend waiting in line to get out (in the hot sun, some with broken air conditioners). If you want to use the prioritized queue but you know that your time slot won't come around until 2 PM, you can spend the time until then exploring what's left of Burning Man, learning and making new friends, instead of getting in line at 10 AM just to get out by 2.

But while I was preparing last year, I went ahead and posted the question to ePlaya, the Burning Man message boards ("playa" being another word for dry lake and the nickname for the physical location of Burning Man). Some of the respondents were convinced that "Bennett Haselton" was an elaborate troll (you guys would get along), although I mostly got people saying, "The organizers have had years of experience doing this, why not wait and see it in person before trying to 'solve' it." Well, I was kind of asking for it, admitting that I had never been to Burning Man before, posting in a forum frequented by grizzled veterans, claiming that from my ivory tower on high, I had divined a solution to a problem that others had been working on for decades. (Of course, none of these are valid reasons why the idea is wrong.)
But anyway, I took the advice in the replies: as I was riding out of Burning Man in the Burner Express bus, I glanced out the window as we passed a mile of non-moving cars waiting to get out. I still don't know what I was supposed to see that would illustrate why the license plate prioritization system would a bad idea. What do you think? Or do you have a different idea?
Then again, maybe it doesn't matter how objectively "good" an idea is, if change is just plain hard. In another thread that I started after Burning Man was over, I said that the porta-potties seemed to work fine but that the dispensers next to the porta-potties, mounted on wooden stakes stuck into the ground, were almost always empty. They could easily attach more dispensers to the posts, or set up more posts (as long as the maintenance company kept replenishing the dispensers with the same frequency), at a cost that would be almost nothing relative to the cost of maintaining the porta-potties in the first place. Even that suggestion was met with fair bit of snark, although eventually someone gave me the email address where I could send feedback like that to the Burning Man organizers. So I sent the hand sanitizer suggestion to the feedback address, but don't hold your breath (except in the porta-potties).

Algorithm Challenge: Burning Man Vehicle Exodus

To get 50,000 people to stick to a specific window of time may very well be the most difficult part of this idea to solve.

What I Did During My Summer Vacation: Burning Man Edition

If you have lower-than-average heat tolerance, buy ice from the ice vendors to make your own ice water, and carry a water spray bottle.
These points should be taken in conjunction with a more comprehensive guide to preparing and packing; I'm not writing a full guide to getting ready for Burning Man. These just happen to be the points where I wasted the most time going down the wrong path during preparation, taking advice too literally from the BurningMan.com website and/or grizzled veterans who thought that you honor the event's heritage by doing things the hard way, before realizing there was a much easier option. (I would have liked it, for example, if the Burning Man website had told me you can just rent a bike once you get there, instead of pointing me to a long list of other options that are much more hassle.)
Generally speaking, for more details on how to prepare, you should talk to someone who has been before -- but it's has to be someone who doesn't take themselves too seriously and will give genuinely usable advice. We all know people who give you the kind of advice that you can actually use because it closely corresponds with what people actually do; and we also all know people who give you the kind of advice designed to "make a man out of you" (regardless of gender) by steering you through an ordeal that will make you appreciate how hard they had to work, but which may not actually be useful. Burning Man attracts a disproportionate number of people from the second category, but you need to find and talk to someone from the first group.
In particular, one lesson learned the hard way: Do not ask a male Burning Man veteran how to do something, in front of a girl that they might be trying to have sex with later. Because you'll get an answer designed to impress her, not to help you -- something along the lines of hunting your own deer with a crossbow and then using the bones to construct a tent frame across which you stretch the fresh deer skin for shelter.
All right, I'm exaggerating, but I'm not exaggerating when I say that the first three people I asked about what kind of tent and shade structure I needed to bring, all of them suggested following directions from the Internet about how to build your own from PVC pipe and tarp from Home Depot, or how to build something called a Hexayurt. (Seriously, the Hexayurt sounds like an honest-to-God brilliant idea, but is kind of overkill, and realistically eliminated as an option if you're flying to Burning Man.) Really, you can get buy with a storebought tent.
A few other meta-points about how I got this information:

I'm sure some people think that making it "easy" for people to survive at Burning Man will ruin it for the veterans, but I think that the less time you have to worry about practical details (such as your week's food supply running low or your home-made tent blowing over in the wind), the more time you can spend actually participating. I'm writing this because I had a good time, and I'd like to make it easier for other people to go, and once they get there, to have more time to contribute using whatever special skill they happened to bring with them.

I'm erring on the side of paying a little bit more money for a little bit less hassle.

Notwithstanding the foregoing, I consider these fallback options which cost a little more money but are guaranteed to work -- for example, pre-paying to rent a bicycle at the event. If you know someone who can bring a bicycle for you in their truck, great; but you have to find someone who is driving there, who has room in their truck, who is willing to do you a favor or let you reimburse them, who is not going to flake out and sell their ticket at the last minute, etc. I've always found that when you are looking for cheaper alternatives, it's a lot less stressful if you have a more expensive option you can fall back on, that you know will definitely work if the cheaper options fall through.
So, back to my list:
You can fly to Reno Airport and take the Burner Express shuttle to Burning Man, instead of driving.
Now I did say that most of my "simplifying strategies" were hard to find through the official channels, but this is an exception to that general rule, in that this option actually is promoted prominently on the BurningMan.com website, not least because the Burner Express shuttle service is operated by the corporation that runs Burning Man. The Burner Express shuttle costs $60 each way and runs from the Reno Airport to Burning Man, allowing you to get from the airport to the event without having to rent a car or coordinate a ride. That might sound expensive if you were planning to rideshare from the airport for free, but you also get to bypass a five-hour line of cars waiting to get in to Burning Man through the entrance gate, and bypass another five-hour line again on the way out. That works out to paying about $12 an hour to avoid sitting in a line full of hot cars, which sounds worth it to me. (There is also a Burner Express shuttle that runs from San Francisco to Burning Man.)
The major constraint that this creates is that you have to fit everything you're bringing into two suitcases per person, which is the maximum allowed by Burner Express, unless you pay extra to bring a third suitcase. (That's still plenty of space, but it does rule out things like the hexayurt.) You can use the extra-large luggage allowance to pay to bring a bicycle on the Burner Express bus, but that means you have to somehow get your hands on a bicycle at the beginning of the bus ride. That's not easy, since you would either have to leave Reno Airport, rent a bike somewhere in the city, and bring it back to the airport before the bus leaves -- or else fly with your own bike on the plane to Reno Airport, which is expensive. Which leads to the next simplifying strategy:
You can rent a bike from one of the other camps at Burning Man rather than bringing one yourself.
I rented mine from Playa Bike Repair camp for $200. If I'd reserved it earlier it would have been $150. (I don't know how many camps there are that rent bicycles to burners, but Hammer and Cyclery is at least one other one.)
This was the one point on which I wished the BurningMan.com website had pointed me in the right direction and saved me a lot of aggravating time chasing dead ends, since their website has three separate pages about bikes at Burning Man -- what kind to bring, where to get them, how to transport them, how to return them -- without mentioning the option of renting them from other camps. (This seems like such a big omission, that it made me wonder if part of BurningMan.com shouldn't be organized as a wiki, so that users can submit edits if the organization doesn't have time to maintain it. A link to the bike rental camps, is exactly the kind of thing that probably would have been added to a page about "bicycles at Burning Man", if it had been wikified.)
The Burning Man website does link to places you can rent a bike in Reno -- some of which are much cheaper than the $200 to rent from Playa Bike Repair -- but they were all booked out by the time I started looking a few weeks before the event. Also, if you're flying in to Reno and renting a bike from a shop there, you'd have to figure out how, after you arrive at the airport, you're going to go and pick up the bike to bring it back to the airport before the Burner Express bus leaves. All more reasons why I figured a bike rental camp was much simpler.
You do have to pre-arrange and pre-pay for a rental from a bike rental camp. Playa Bike Repair had no walk-up rentals available at the event, and I doubt the other bike rental camps would either, since they have to know in advance how many bikes to bring with them, based on reservations.
And speaking of Playa Bike Repair camp --
You can pay dues to a camp that will provide food, water, camping space, a place to store your trash (if you didn't know, there are no communal trash dumpsters at Burning Man), and sometimes access to a shower, rather than trying to arrange for all of those things yourself.
"Camps" at Burning Man are groups of campers who often pool their resources so that, for example, one person can drive in with a truck carrying a week's worth of food for everyone, instead of everyone bringing in their own food. Some camps have consisted of the same group of friends for many years and have completely closed their membership, so that even close friends of the existing members can't join. Others outright sell camp memberships to the general public. (My camp was in the middle of the open-ness spectrum; it wasn't open to the public, but two of the campers were guys that I had met a few times, so I got in by paying $200 and doing a share of the camp chores.)
One Burning Man participant, who had done more research than I did on the types of camp memberships that were open to the public, said that they varied widely in the value they offered for the dollar -- some charged up to $300 for almost nothing, while others charged under $100 for everything including food, water, and showers. He said that in order to find a suitable camp, he wrote up a "Burner Resume" describing his skills, and contacted various camps while putting out a request on the Burning Man forums. You might find some sweet deals that way, expanding your options beyond those camps which straightforwardly sell memberships to the public through a shopping cart interface right on their website.
Playa Bike Repair is in fact one camp that sells public memberships and gives you a discount on your loaner bike if you camp with them. (But read the fine print; they also ask you to work four 4-hour shifts (16 hours total) for the camp during the week.)
I can't vouch for any specific camp that has open membership; I'm just saying that as a general strategy, it's probably easier to pay money into a camp that will take care of these details for you, rather than worrying about everything yourself.
If you just need space for one person to sleep, all you need is a single-occupancy tent.
Originally, after reading the Burning Man Survival Guide for 2013, I was under the impression that you needed to bring a shade structure to the desert in addition to your tent. Basically, they recommend a tent to protect you from the elements, and then a separate layer on top of that to cast a shadow over the tent, to prevent overheating. (Obviously, the opaque fabric of the tent already creates "shade" inside, but if the tent is directly in the sun, the air trapped inside the tent will heat up like an oven. So you need a second layer above the tent, to create shade while still allowing the air to circulate between the roof of the tent chamber, and whatever is above it casting the shadow.) And this is where I got a lot of Bear Grylls types telling me how to build my own shade structure out of PVC pipe and tarp.
It's probably simpler than that. Basically:

If you're sleeping in a single-occupancy tent and you won't be sleeping in it during the day, a regular camping tent is fine.

On the other hand, if you might be sleeping or resting in your tent during the day, you'll likely want a tent that has a built-in shade canopy, or a separate shade structure.

In either case, you should anchor it to the ground using rebar, rather than the stakes that come with the tent or the shade structure.

But, in neither case do you need to build anything yourself out of PVC and tarp, unless you really want to save money. You can get tents and shade structures at REI or Sports Authority, and I think it's worth it to have one more thing that is built by professionals and that much less likely to have something go wrong with it.
Now here's where I may have gotten away with an easy approach because of my particular circumstances. Originally I brought a 12-foot-square shade structure that I had planned to set up over my tent. Most experienced burners say that an EZ-UP shade structure is not suitable because it can be too flimsy and likely to blow away in high winds; a burner in your city can help you find a sturdier shade structure that you can buy.
Remember, a flimsy tent or shade structure might merely be crumpled by high winds, so it's up to you if you want to take that chance. A tent or shade structure that is improperly secured, however, creates a hazard to other people, so it's your obligation to other burners to make sure your tent or shade structure stays attached to the ground, whether it crumples or not. That's why you should use rebar instead of the standard stakes which come with the tent (which are too short to anchor securely in the desert sand), and then cover the cops of the rebar with bottlecaps or tennis balls so that people won't impale themselves if they trip and fall onto one of the stakes.
One final note on that: I didn't set up my shade structure, but I did bring an electric fan that I turned on full blast to circulate the air in and out of my tent the one morning that I did sleep in for a bit. If your camp provides electricity to plug in a fan, that may work just a well for you, and be a lot simpler than a separate shade structure.

Most days I would go to the ice vendors and buy my own 10-lb bag of crushed ice, bike back to the camp with it in my backpack, and empty it into my plastic water jugs. This got me only about two hours' worth of ice-cold water, before the ice was all melted -- but during the two hottest hours in the middle of the day, I considered it to be well worth it. On my definite packing list for next year: a cooler (small enough to fit in a suitcase) which I can use to store my own private ice supply and make it last all day, and a thermos to carry around ice water and keep it cold for as long as possible. (Almost everyone I saw was drinking lukewarm water from a camelbak or simple water bottle instead of a thermos; I'd gladly spend the extra 10 seconds screwing and unscrewing the thermos, to get ice-cold water instead of room-temperature. Besides, for hydration purposes, cold water is better for you.)
A water spray bottle, besides being a good way to deal with the heat, can also function as an icebreaker -- I didn't bring my own spray bottle, but many times I walked past strangers who said Hi and gave me a nice misting with water, sometimes scented with a flavor like lavender. Surprisingly, given how refreshing the spray bottles are, most people seemed not to have one, so everyone was always happy to see the person who had the spray bottle. Everyone at Burning Man is expected to contribute one way or another, and if you don't know how to juggle flaming chainsaws and you don't have boobs that you can walk around exposing everywhere, carrying around a bottle to mist people with is quite sufficient.
Of course spray bottles are not the only resource you can share for the benefit of the community. Next to every row of porta-potties distributed throughout the city at Burning Man, there was a wooden stake in the ground with two with two hand sanitizer dispensers attached to it, but the dispensers were almost always empty when I tried to use them, so I started carrying around my own hand sanitizer bottle. On my last morning there, since my personal hand sanitizer bottle was still 80% full, and since I had just spent a week snarfing up every piece of free food that was offered to me, I figured the least I could do was to stand by the hand sanitizer post for a few minutes and offer free hand sanitizer to anyone who wanted it, after they discovered that the official dispensers were empty. Nice way to give back to the community and say Hi to a few people, although not a great way to pick up the ladies since you're meeting them in the context of helping them wipe off bacteria from their own shit. These just happen to be the points where I wasted the most time going down the wrong path during preparation, taking advice too literally from the BurningMan.com website and/or grizzled veterans who thought that you honor the event's heritage by doing things the hard way, before realizing there was a much easier option. (I would have liked it, for example, if the Burning Man website had told me you can just rent a bike once you get there, instead of pointing me to a long list of other options that are much more hassle.)

We all know people who give you the kind of advice that you can actually use because it closely corresponds with what people actually do; and we also all know people who give you the kind of advice designed to "make a man out of you" (regardless of gender) by steering you through an ordeal that will make you appreciate how hard they had to work, but which may not actually be useful. Burning Man attracts a disproportionate number of people from the second category, but you need to find and talk to someone from the first group.
In particular, one lesson learned the hard way: Do not ask a male Burning Man veteran how to do something, in front of a girl that they might be trying to have sex with later. Because you'll get an answer designed to impress her, not to help you -- something along the lines of hunting your own deer with a crossbow and then using the bones to construct a tent frame across which you stretch the fresh deer skin for shelter.
All right, I'm exaggerating, but I'm not exaggerating when I say that the first three people I asked about what kind of tent and shade structure I needed to bring, all of them suggested following directions from the Internet about how to build your own from PVC pipe and tarp from Home Depot, or how to build something called a Hexayurt. (Seriously, the Hexayurt sounds like an honest-to-God brilliant idea, but is kind of overkill, and realistically eliminated as an option if you're flying to Burning Man.) Really, you can get buy with a storebought tent.
A few other meta-points about how I got this information:

Notwithstanding the foregoing, I consider these fallback options which cost a little more money but are guaranteed to work -- for example, pre-paying to rent a bicycle at the event. If you know someone who can bring a bicycle for you in their truck, great; but you have to find someone who is driving there, who has room in their truck, who is willing to do you a favor or let you reimburse them, who is not going to flake out and sell their ticket at the last minute, etc. I've always found that when you are looking for cheaper alternatives, it's a lot less stressful if you have a more expensive option you can fall back on, that you know will definitely work if the cheaper options fall through.
So, back to my list:

The Burner Express shuttle costs $60 each way and runs from the Reno Airport to Burning Man, allowing you to get from the airport to the event without having to rent a car or coordinate a ride. That might sound expensive if you were planning to rideshare from the airport for free, but you also get to bypass a five-hour line of cars waiting to get in to Burning Man through the entrance gate, and bypass another five-hour line again on the way out. That works out to paying about $12 an hour to avoid sitting in a line full of hot cars, which sounds worth it to me. (There is also a Burner Express shuttle that runs from San Francisco to Burning Man.)
The major constraint that this creates is that you have to fit everything you're bringing into two suitcases per person, which is the maximum allowed by Burner Express, unless you pay extra to bring a third suitcase. (That's still plenty of space, but it does rule out things like the hexayurt.) You can use the extra-large luggage allowance to pay to bring a bicycle on the Burner Express bus, but that means you have to somehow get your hands on a bicycle at the beginning of the bus ride. That's not easy, since you would either have to leave Reno Airport, rent a bike somewhere in the city, and bring it back to the airport before the bus leaves -- or else fly with your own bike on the plane to Reno Airport, which is expensive. Which leads to the next simplifying strategy:

I rented mine from Playa Bike Repair camp for $200. If I'd reserved it earlier it would have been $150. (I don't know how many camps there are that rent bicycles to burners, but Hammer and Cyclery is at least one other one.)

(This seems like such a big omission, that it made me wonder if part of BurningMan.com shouldn't be organized as a wiki, so that users can submit edits if the organization doesn't have time to maintain it. A link to the bike rental camps, is exactly the kind of thing that probably would have been added to a page about "bicycles at Burning Man", if it had been wikified.)
The Burning Man website does link to places you can rent a bike in Reno -- some of which are much cheaper than the $200 to rent from Playa Bike Repair -- but they were all booked out by the time I started looking a few weeks before the event. Also, if you're flying in to Reno and renting a bike from a shop there, you'd have to figure out how, after you arrive at the airport, you're going to go and pick up the bike to bring it back to the airport before the Burner Express bus leaves. "Camps" at Burning Man are groups of campers who often pool their resources so that, for example, one person can drive in with a truck carrying a week's worth of food for everyone, instead of everyone bringing in their own food. Some camps have consisted of the same group of friends for many years and have completely closed their membership, so that even close friends of the existing members can't join. Others outright sell camp memberships to the general public. (My camp was in the middle of the open-ness spectrum; it wasn't open to the public, but two of the campers were guys that I had met a few times, so I got in by paying $200 and doing a share of the camp chores.)
One Burning Man participant, who had done more research than I did on the types of camp memberships that were open to the public, said that they varied widely in the value they offered for the dollar -- some charged up to $300 for almost nothing, while others charged under $100 for everything including food, water, and showers. He said that in order to find a suitable camp, he wrote up a "Burner Resume" describing his skills, and contacted various camps while putting out a request on the Burning Man forums. You might find some sweet deals that way, expanding your options beyond those camps which straightforwardly sell memberships to the public through a shopping cart interface right on their website.
Playa Bike Repair is in fact one camp that sells public memberships and gives you a discount on your loaner bike if you camp with them. (But read the fine print; they also ask you to work four 4-hour shifts (16 hours total) for the camp during the week.)
I can't vouch for any specific camp that has open membership; I'm just saying that as a general strategy, it's probably easier to pay money into a camp that will take care of these details for you, rather than worrying about everything yourself.

He said that in order to find a suitable camp, he wrote up a "Burner Resume" describing his skills, and contacted various camps while putting out a request on the Burning Man forums. You might find some sweet deals that way, expanding your options beyond those camps which straightforwardly sell memberships to the public through a shopping cart interface right on their website.
Playa Bike Repair is in fact one camp that sells public memberships and gives you a discount on your loaner bike if you camp with them. (But read the fine print; they also ask you to work four 4-hour shifts (16 hours total) for the camp during the week.)
I can't vouch for any specific camp that has open membership; I'm just saying that as a general strategy, it's probably easier to pay money into a camp that will take care of these details for you, rather than worrying about everything yourself.

Basically, they recommend a tent to protect you from the elements, and then a separate layer on top of that to cast a shadow over the tent, to prevent overheating. (Obviously, the opaque fabric of the tent already creates "shade" inside, but if the tent is directly in the sun, the air trapped inside the tent will heat up like an oven. So you need a second layer above the tent, to create shade while still allowing the air to circulate between the roof of the tent chamber, and whatever is above it casting the shadow.) And this is where I got a lot of Bear Grylls types telling me how to build my own shade structure out of PVC pipe and tarp.
It's probably simpler than that. Basically:

But I either caught a cold on the plane to Reno, or was hit with dust allergies as soon as I got to Burning Man (I still don't know which), so I was taking heavy doses of Benadryl every evening. And that meant I was usually out cold by midnight, and that meant I was usually up by 8 am the next morning and well out of my tent before the sun started heating up the trapped air inside. So I didn't even need my shade structure and never set it up.
On the other hand, if you plan on sleeping or resting in your tent during in the day, then you probably need shade. You can buy tents which have an extra layer of fabric separate from the roof of the tent, to let the air circulate while still providing shade, or you can get a separate shade structure. Most experienced burners say that an EZ-UP shade structure is not suitable because it can be too flimsy and likely to blow away in high winds; a burner in your city can help you find a sturdier shade structure that you can buy.
Remember, a flimsy tent or shade structure might merely be crumpled by high winds, so it's up to you if you want to take that chance. A tent or shade structure that is improperly secured, however, creates a hazard to other people, so it's your obligation to other burners to make sure your tent or shade structure stays attached to the ground, whether it crumples or not. That's why you should use rebar instead of the standard stakes which come with the tent (which are too short to anchor securely in the desert sand), and then cover the cops of the rebar with bottlecaps or tennis balls so that people won't impale themselves if they trip and fall onto one of the stakes.
One final note on that: I didn't set up my shade structure, but I did bring an electric fan that I turned on full blast to circulate the air in and out of my tent the one morning that I did sleep in for a bit. If your camp provides electricity to plug in a fan, that may work just a well for you, and be a lot simpler than a separate shade structure.

(Almost everyone I saw was drinking lukewarm water from a camelbak or simple water bottle instead of a thermos; I'd gladly spend the extra 10 seconds screwing and unscrewing the thermos, to get ice-cold water instead of room-temperature. Besides, for hydration purposes, cold water is better for you.)
A water spray bottle, besides being a good way to deal with the heat, can also function as an icebreaker -- I didn't bring my own spray bottle, but many times I walked past strangers who said Hi and gave me a nice misting with water, sometimes scented with a flavor like lavender. Surprisingly, given how refreshing the spray bottles are, most people seemed not to have one, so everyone was always happy to see the person who had the spray bottle. Everyone at Burning Man is expected to contribute one way or another, and if you don't know how to juggle flaming chainsaws and you don't have boobs that you can walk around exposing everywhere, carrying around a bottle to mist people with is quite sufficient.

Next to every row of porta-potties distributed throughout the city at Burning Man, there was a wooden stake in the ground with two with two hand sanitizer dispensers attached to it, but the dispensers were almost always empty when I tried to use them, so I started carrying around my own hand sanitizer bottle. On my last morning there, since my personal hand sanitizer bottle was still 80% full, and since I had just spent a week snarfing up every piece of free food that was offered to me, I figured the least I could do was to stand by the hand sanitizer post for a few minutes and offer free hand sanitizer to anyone who wanted it, after they discovered that the official dispensers were empty. Nice way to give back to the community and say Hi to a few people, although not a great way to pick up the ladies since you're meeting them in the context of helping them wipe off bacteria from their own shit. We all know people who give you the kind of advice that you can actually use because it closely corresponds with what people actually do; and we also all know people who give you the kind of advice designed to "make a man out of you" (regardless of gender) by steering you through an ordeal that will make you appreciate how hard they had to work, but which may not actually be useful. Burning Man attracts a disproportionate number of people from the second category, but you need to find and talk to someone from the first group.
In particular, one lesson learned the hard way: Do not ask a male Burning Man veteran how to do something, in front of a girl that they might be trying to have sex with later. Because you'll get an answer designed to impress her, not to help you -- something along the lines of hunting your own deer with a crossbow and then using the bones to construct a tent frame across which you stretch the fresh deer skin for shelter.
All right, I'm exaggerating, but I'm not exaggerating when I say that the first three people I asked about what kind of tent and shade structure I needed to bring, all of them suggested following directions from the Internet about how to build your own from PVC pipe and tarp from Home Depot, or how to build something called a Hexayurt. (Seriously, the Hexayurt sounds like an honest-to-God brilliant idea, but is kind of overkill, and realistically eliminated as an option if you're flying to Burning Man.) Really, you can get buy with a storebought tent.
A few other meta-points about how I got this information:

I'm sure some people think that making it "easy" for people to survive at Burning Man will ruin it for the veterans, but I think that the less time you have to worry about practical details (such as your week's food supply running low or your home-made tent blowing over in the wind), the more time you can spend actually participating. Notwithstanding the foregoing, I consider these fallback options which cost a little more money but are guaranteed to work -- for example, pre-paying to rent a bicycle at the event. If you know someone who can bring a bicycle for you in their truck, great; but you have to find someone who is driving there, who has room in their truck, who is willing to do you a favor or let you reimburse them, who is not going to flake out and sell their ticket at the last minute, etc. I've always found that when you are looking for cheaper alternatives, it's a lot less stressful if you have a more expensive option you can fall back on, that you know will definitely work if the cheaper options fall through.
So, back to my list:

Now I did say that most of my "simplifying strategies" were hard to find through the official channels, but this is an exception to that general rule, in that this option actually is promoted prominently on the BurningMan.com website, not least because the Burner Express shuttle service is operated by the corporation that runs Burning Man. The Burner Express shuttle costs $60 each way and runs from the Reno Airport to Burning Man, allowing you to get from the airport to the event without having to rent a car or coordinate a ride. That might sound expensive if you were planning to rideshare from the airport for free, but you also get to bypass a five-hour line of cars waiting to get in to Burning Man through the entrance gate, and bypass another five-hour line again on the way out. That works out to paying about $12 an hour to avoid sitting in a line full of hot cars, which sounds worth it to me. (There is also a Burner Express shuttle that runs from San Francisco to Burning Man.)
The major constraint that this creates is that you have to fit everything you're bringing into two suitcases per person, which is the maximum allowed by Burner Express, unless you pay extra to bring a third suitcase. (That's still plenty of space, but it does rule out things like the hexayurt.) You can use the extra-large luggage allowance to pay to bring a bicycle on the Burner Express bus, but that means you have to somehow get your hands on a bicycle at the beginning of the bus ride. That's not easy, since you would either have to leave Reno Airport, rent a bike somewhere in the city, and bring it back to the airport before the bus leaves -- or else fly with your own bike on the plane to Reno Airport, which is expensive. Which leads to the next simplifying strategy:

One Burning Man participant, who had done more research than I did on the types of camp memberships that were open to the public, said that they varied widely in the value they offered for the dollar -- some charged up to $300 for almost nothing, while others charged under $100 for everything including food, water, and showers. He said that in order to find a suitable camp, he wrote up a "Burner Resume" describing his skills, and contacted various camps while putting out a request on the Burning Man forums. You might find some sweet deals that way, expanding your options beyond those camps which straightforwardly sell memberships to the public through a shopping cart interface right on their website.
Playa Bike Repair is in fact one camp that sells public memberships and gives you a discount on your loaner bike if you camp with them. (But read the fine print; they also ask you to work four 4-hour shifts (16 hours total) for the camp during the week.)
I can't vouch for any specific camp that has open membership; I'm just saying that as a general strategy, it's probably easier to pay money into a camp that will take care of these details for you, rather than worrying about everything yourself.

(Obviously, the opaque fabric of the tent already creates "shade" inside, but if the tent is directly in the sun, the air trapped inside the tent will heat up like an oven. So you need a second layer above the tent, to create shade while still allowing the air to circulate between the roof of the tent chamber, and whatever is above it casting the shadow.) And this is where I got a lot of Bear Grylls types telling me how to build my own shade structure out of PVC pipe and tarp.
It's probably simpler than that. Basically:

Most experienced burners say that an EZ-UP shade structure is not suitable because it can be too flimsy and likely to blow away in high winds; a burner in your city can help you find a sturdier shade structure that you can buy.
Remember, a flimsy tent or shade structure might merely be crumpled by high winds, so it's up to you if you want to take that chance. A tent or shade structure that is improperly secured, however, creates a hazard to other people, so it's your obligation to other burners to make sure your tent or shade structure stays attached to the ground, whether it crumples or not. That's why you should use rebar instead of the standard stakes which come with the tent (which are too short to anchor securely in the desert sand), and then cover the cops of the rebar with bottlecaps or tennis balls so that people won't impale themselves if they trip and fall onto one of the stakes.
One final note on that: I didn't set up my shade structure, but I did bring an electric fan that I turned on full blast to circulate the air in and out of my tent the one morning that I did sleep in for a bit. If your camp provides electricity to plug in a fan, that may work just a well for you, and be a lot simpler than a separate shade structure.

On my definite packing list for next year: a cooler (small enough to fit in a suitcase) which I can use to store my own private ice supply and make it last all day, and a thermos to carry around ice water and keep it cold for as long as possible. (Almost everyone I saw was drinking lukewarm water from a camelbak or simple water bottle instead of a thermos; I'd gladly spend the extra 10 seconds screwing and unscrewing the thermos, to get ice-cold water instead of room-temperature. Besides, for hydration purposes, cold water is better for you.)
A water spray bottle, besides being a good way to deal with the heat, can also function as an icebreaker -- I didn't bring my own spray bottle, but many times I walked past strangers who said Hi and gave me a nice misting with water, sometimes scented with a flavor like lavender. Surprisingly, given how refreshing the spray bottles are, most people seemed not to have one, so everyone was always happy to see the person who had the spray bottle. Everyone at Burning Man is expected to contribute one way or another, and if you don't know how to juggle flaming chainsaws and you don't have boobs that you can walk around exposing everywhere, carrying around a bottle to mist people with is quite sufficient.
Of course spray bottles are not the only resource you can share for the benefit of the community. Next to every row of porta-potties distributed throughout the city at Burning Man, there was a wooden stake in the ground with two with two hand sanitizer dispensers attached to it, but the dispensers were almost always empty when I tried to use them, so I started carrying around my own hand sanitizer bottle. On my last morning there, since my personal hand sanitizer bottle was still 80% full, and since I had just spent a week snarfing up every piece of free food that was offered to me, I figured the least I could do was to stand by the hand sanitizer post for a few minutes and offer free hand sanitizer to anyone who wanted it, after they discovered that the official dispensers were empty. Nice way to give back to the community and say Hi to a few people, although not a great way to pick up the ladies since you're meeting them in the context of helping them wipe off bacteria from their own shit. These just happen to be the points where I wasted the most time going down the wrong path during preparation, taking advice too literally from the BurningMan.com website and/or grizzled veterans who thought that you honor the event's heritage by doing things the hard way, before realizing there was a much easier option. (I would have liked it, for example, if the Burning Man website had told me you can just rent a bike once you get there, instead of pointing me to a long list of other options that are much more hassle.)
Generally speaking, for more details on how to prepare, you should talk to someone who has been before -- but it's has to be someone who doesn't take themselves too seriously and will give genuinely usable advice. We all know people who give you the kind of advice that you can actually use because it closely corresponds with what people actually do; and we also all know people who give you the kind of advice designed to "make a man out of you" (regardless of gender) by steering you through an ordeal that will make you appreciate how hard they had to work, but which may not actually be useful. Burning Man attracts a disproportionate number of people from the second category, but you need to find and talk to someone from the first group.
In particular, one lesson learned the hard way: Do not ask a male Burning Man veteran how to do something, in front of a girl that they might be trying to have sex with later. Because you'll get an answer designed to impress her, not to help you -- something along the lines of hunting your own deer with a crossbow and then using the bones to construct a tent frame across which you stretch the fresh deer skin for shelter.
All right, I'm exaggerating, but I'm not exaggerating when I say that the first three people I asked about what kind of tent and shade structure I needed to bring, all of them suggested following directions from the Internet about how to build your own from PVC pipe and tarp from Home Depot, or how to build something called a Hexayurt. (Seriously, the Hexayurt sounds like an honest-to-God brilliant idea, but is kind of overkill, and realistically eliminated as an option if you're flying to Burning Man.) Really, you can get buy with a storebought tent.
A few other meta-points about how I got this information:

Generally speaking, for more details on how to prepare, you should talk to someone who has been before -- but it's has to be someone who doesn't take themselves too seriously and will give genuinely usable advice. We all know people who give you the kind of advice that you can actually use because it closely corresponds with what people actually do; and we also all know people who give you the kind of advice designed to "make a man out of you" (regardless of gender) by steering you through an ordeal that will make you appreciate how hard they had to work, but which may not actually be useful. Burning Man attracts a disproportionate number of people from the second category, but you need to find and talk to someone from the first group.
In particular, one lesson learned the hard way: Do not ask a male Burning Man veteran how to do something, in front of a girl that they might be trying to have sex with later. Because you'll get an answer designed to impress her, not to help you -- something along the lines of hunting your own deer with a crossbow and then using the bones to construct a tent frame across which you stretch the fresh deer skin for shelter.
All right, I'm exaggerating, but I'm not exaggerating when I say that the first three people I asked about what kind of tent and shade structure I needed to bring, all of them suggested following directions from the Internet about how to build your own from PVC pipe and tarp from Home Depot, or how to build something called a Hexayurt. (Seriously, the Hexayurt sounds like an honest-to-God brilliant idea, but is kind of overkill, and realistically eliminated as an option if you're flying to Burning Man.) Really, you can get buy with a storebought tent.
A few other meta-points about how I got this information:

I'm sure some people think that making it "easy" for people to survive at Burning Man will ruin it for the veterans, but I think that the less time you have to worry about practical details (such as your week's food supply running low or your home-made tent blowing over in the wind), the more time you can spend actually participating. I'm writing this because I had a good time, and I'd like to make it easier for other people to go, and once they get there, to have more time to contribute using whatever special skill they happened to bring with them.

I'm erring on the side of paying a little bit more money for a little bit less hassle.

Notwithstanding the foregoing, I consider these fallback options which cost a little more money but are guaranteed to work -- for example, pre-paying to rent a bicycle at the event. If you know someone who can bring a bicycle for you in their truck, great; but you have to find someone who is driving there, who has room in their truck, who is willing to do you a favor or let you reimburse them, who is not going to flake out and sell their ticket at the last minute, etc. I've always found that when you are looking for cheaper alternatives, it's a lot less stressful if you have a more expensive option you can fall back on, that you know will definitely work if the cheaper options fall through.
So, back to my list:
You can fly to Reno Airport and take the Burner Express shuttle to Burning Man, instead of driving.
Now I did say that most of my "simplifying strategies" were hard to find through the official channels, but this is an exception to that general rule, in that this option actually is promoted prominently on the BurningMan.com website, not least because the Burner Express shuttle service is operated by the corporation that runs Burning Man. The Burner Express shuttle costs $60 each way and runs from the Reno Airport to Burning Man, allowing you to get from the airport to the event without having to rent a car or coordinate a ride. That might sound expensive if you were planning to rideshare from the airport for free, but you also get to bypass a five-hour line of cars waiting to get in to Burning Man through the entrance gate, and bypass another five-hour line again on the way out. That works out to paying about $12 an hour to avoid sitting in a line full of hot cars, which sounds worth it to me. (There is also a Burner Express shuttle that runs from San Francisco to Burning Man.)
The major constraint that this creates is that you have to fit everything you're bringing into two suitcases per person, which is the maximum allowed by Burner Express, unless you pay extra to bring a third suitcase. (That's still plenty of space, but it does rule out things like the hexayurt.) You can use the extra-large luggage allowance to pay to bring a bicycle on the Burner Express bus, but that means you have to somehow get your hands on a bicycle at the beginning of the bus ride. That's not easy, since you would either have to leave Reno Airport, rent a bike somewhere in the city, and bring it back to the airport before the bus leaves -- or else fly with your own bike on the plane to Reno Airport, which is expensive. Which leads to the next simplifying strategy:
You can rent a bike from one of the other camps at Burning Man rather than bringing one yourself.
I rented mine from Playa Bike Repair camp for $200. If I'd reserved it earlier it would have been $150. (I don't know how many camps there are that rent bicycles to burners, but Hammer and Cyclery is at least one other one.)
This was the one point on which I wished the BurningMan.com website had pointed me in the right direction and saved me a lot of aggravating time chasing dead ends, since their website has three separate pages about bikes at Burning Man -- what kind to bring, where to get them, how to transport them, how to return them -- without mentioning the option of renting them from other camps. (This seems like such a big omission, that it made me wonder if part of BurningMan.com shouldn't be organized as a wiki, so that users can submit edits if the organization doesn't have time to maintain it. A link to the bike rental camps, is exactly the kind of thing that probably would have been added to a page about "bicycles at Burning Man", if it had been wikified.)
The Burning Man website does link to places you can rent a bike in Reno -- some of which are much cheaper than the $200 to rent from Playa Bike Repair -- but they were all booked out by the time I started looking a few weeks before the event. Also, if you're flying in to Reno and renting a bike from a shop there, you'd have to figure out how, after you arrive at the airport, you're going to go and pick up the bike to bring it back to the airport before the Burner Express bus leaves. All more reasons why I figured a bike rental camp was much simpler.
You do have to pre-arrange and pre-pay for a rental from a bike rental camp. Playa Bike Repair had no walk-up rentals available at the event, and I doubt the other bike rental camps would either, since they have to know in advance how many bikes to bring with them, based on reservations.
And speaking of Playa Bike Repair camp --
You can pay dues to a camp that will provide food, water, camping space, a place to store your trash (if you didn't know, there are no communal trash dumpsters at Burning Man), and sometimes access to a shower, rather than trying to arrange for all of those things yourself.
"Camps" at Burning Man are groups of campers who often pool their resources so that, for example, one person can drive in with a truck carrying a week's worth of food for everyone, instead of everyone bringing in their own food. Some camps have consisted of the same group of friends for many years and have completely closed their membership, so that even close friends of the existing members can't join. Others outright sell camp memberships to the general public. (My camp was in the middle of the open-ness spectrum; it wasn't open to the public, but two of the campers were guys that I had met a few times, so I got in by paying $200 and doing a share of the camp chores.)
One Burning Man participant, who had done more research than I did on the types of camp memberships that were open to the public, said that they varied widely in the value they offered for the dollar -- some charged up to $300 for almost nothing, while others charged under $100 for everything including food, water, and showers. He said that in order to find a suitable camp, he wrote up a "Burner Resume" describing his skills, and contacted various camps while putting out a request on the Burning Man forums. You might find some sweet deals that way, expanding your options beyond those camps which straightforwardly sell memberships to the public through a shopping cart interface right on their website.
Playa Bike Repair is in fact one camp that sells public memberships and gives you a discount on your loaner bike if you camp with them. (But read the fine print; they also ask you to work four 4-hour shifts (16 hours total) for the camp during the week.)
I can't vouch for any specific camp that has open membership; I'm just saying that as a general strategy, it's probably easier to pay money into a camp that will take care of these details for you, rather than worrying about everything yourself.
If you just need space for one person to sleep, all you need is a single-occupancy tent.
Originally, after reading the Burning Man Survival Guide for 2013, I was under the impression that you needed to bring a shade structure to the desert in addition to your tent. Basically, they recommend a tent to protect you from the elements, and then a separate layer on top of that to cast a shadow over the tent, to prevent overheating. (Obviously, the opaque fabric of the tent already creates "shade" inside, but if the tent is directly in the sun, the air trapped inside the tent will heat up like an oven. So you need a second layer above the tent, to create shade while still allowing the air to circulate between the roof of the tent chamber, and whatever is above it casting the shadow.) And this is where I got a lot of Bear Grylls types telling me how to build my own shade structure out of PVC pipe and tarp.
It's probably simpler than that. Basically:

If you're sleeping in a single-occupancy tent and you won't be sleeping in it during the day, a regular camping tent is fine.

On the other hand, if you might be sleeping or resting in your tent during the day, you'll likely want a tent that has a built-in shade canopy, or a separate shade structure.

In either case, you should anchor it to the ground using rebar, rather than the stakes that come with the tent or the shade structure.

But, in neither case do you need to build anything yourself out of PVC and tarp, unless you really want to save money. You can get tents and shade structures at REI or Sports Authority, and I think it's worth it to have one more thing that is built by professionals and that much less likely to have something go wrong with it.
Now here's where I may have gotten away with an easy approach because of my particular circumstances. Originally I brought a 12-foot-square shade structure that I had planned to set up over my tent. But I either caught a cold on the plane to Reno, or was hit with dust allergies as soon as I got to Burning Man (I still don't know which), so I was taking heavy doses of Benadryl every evening. And that meant I was usually out cold by midnight, and that meant I was usually up by 8 am the next morning and well out of my tent before the sun started heating up the trapped air inside. So I didn't even need my shade structure and never set it up.
On the other hand, if you plan on sleeping or resting in your tent during in the day, then you probably need shade. You can buy tents which have an extra layer of fabric separate from the roof of the tent, to let the air circulate while still providing shade, or you can get a separate shade structure. Most experienced burners say that an EZ-UP shade structure is not suitable because it can be too flimsy and likely to blow away in high winds; a burner in your city can help you find a sturdier shade structure that you can buy.
Remember, a flimsy tent or shade structure might merely be crumpled by high winds, so it's up to you if you want to take that chance. A tent or shade structure that is improperly secured, however, creates a hazard to other people, so it's your obligation to other burners to make sure your tent or shade structure stays attached to the ground, whether it crumples or not. That's why you should use rebar instead of the standard stakes which come with the tent (which are too short to anchor securely in the desert sand), and then cover the cops of the rebar with bottlecaps or tennis balls so that people won't impale themselves if they trip and fall onto one of the stakes.
One final note on that: I didn't set up my shade structure, but I did bring an electric fan that I turned on full blast to circulate the air in and out of my tent the one morning that I did sleep in for a bit. If your camp provides electricity to plug in a fan, that may work just a well for you, and be a lot simpler than a separate shade structure.
If you have lower-than-average heat tolerance, buy ice from the ice vendors to make your own ice water, and carry a water spray bottle.
Bags of ice are one of the few things that are sold at Burning Man, by the event organizers. Most days I would go to the ice vendors and buy my own 10-lb bag of crushed ice, bike back to the camp with it in my backpack, and empty it into my plastic water jugs. This got me only about two hours' worth of ice-cold water, before the ice was all melted -- but during the two hottest hours in the middle of the day, I considered it to be well worth it. On my definite packing list for next year: a cooler (small enough to fit in a suitcase) which I can use to store my own private ice supply and make it last all day, and a thermos to carry around ice water and keep it cold for as long as possible. (Almost everyone I saw was drinking lukewarm water from a camelbak or simple water bottle instead of a thermos; I'd gladly spend the extra 10 seconds screwing and unscrewing the thermos, to get ice-cold water instead of room-temperature. Besides, for hydration purposes, cold water is better for you.)
A water spray bottle, besides being a good way to deal with the heat, can also function as an icebreaker -- I didn't bring my own spray bottle, but many times I walked past strangers who said Hi and gave me a nice misting with water, sometimes scented with a flavor like lavender. Surprisingly, given how refreshing the spray bottles are, most people seemed not to have one, so everyone was always happy to see the person who had the spray bottle. Everyone at Burning Man is expected to contribute one way or another, and if you don't know how to juggle flaming chainsaws and you don't have boobs that you can walk around exposing everywhere, carrying around a bottle to mist people with is quite sufficient.
Of course spray bottles are not the only resource you can share for the benefit of the community. Next to every row of porta-potties distributed throughout the city at Burning Man, there was a wooden stake in the ground with two with two hand sanitizer dispensers attached to it, but the dispensers were almost always empty when I tried to use them, so I started carrying around my own hand sanitizer bottle. On my last morning there, since my personal hand sanitizer bottle was still 80% full, and since I had just spent a week snarfing up every piece of free food that was offered to me, I figured the least I could do was to stand by the hand sanitizer post for a few minutes and offer free hand sanitizer to anyone who wanted it, after they discovered that the official dispensers were empty. Nice way to give back to the community and say Hi to a few people, although not a great way to pick up the ladies since you're meeting them in the context of helping them wipe off bacteria from their own shit. Burning Man Responds To EFF's Criticism of Policy

We don't remove images from pages just because they criticize us (I've never been involved in taking down an image from an editorial blog criticizing Burning Man, and it's certainly not because there haven't been any!). We're also not at all interested [in] preventing participants from sharing their personal imagery or impressions of the event on third party sharing sites in a noncommercial manner, so long as they observe the concerns about privacy and commercialism. We're delighted to see people sharing videos, stories, and pictures on our official Facebook page, and we know that it, along with Flickr, YouTube, Vimeo, etc. are representative of the way many of us share personal imagery in the digital age.'" -
EFF Says Burning Man Usurps Digital Rights
Hugh Pickens writes "In a few weeks, tens of thousands of creative people will make their yearly pilgrimage to Nevada's Black Rock desert for Burning Man, an annual art event and temporary community celebrating radical self expression, self-reliance, creativity and freedom, but EFF reports that the event's Terms and Conditions include 'a remarkable bit of legal sleight-of-hand.' As soon as 'any third party displays or disseminates' your photos or videos in a manner that the Burning Man Organization (BMO) doesn't like, those photos or videos become the property of the BMO. BMO's Terms and Conditions also limits your own rights to use your own photos and videos on any public websites obliging you to take down any photos to which BMO objects, for any reason; and forbidding you from allowing anyone else to reuse your photos. This 'we automatically own all your stuff' magic appears to be creative lawyering intended to allow the BMO to use the streamlined 'notice and takedown' process enshrined in the Digital Millennium Copyright Act (DMCA) to quickly remove photos from the Internet giving BMO the power of fast and easy online censorship. 'Burning Man strives to celebrate our individuality, creativity and free spirit,' writes Corynne McSherry. 'Unfortunately, the fine print on the tickets doesn't live up to that aspiration.'" -
A Wi-Fi/VoIP Phone Booth In the Burning Man Desert
Brad Templeton writes "I, (of EFF/ClariNet/rec.humor.funny) along with Brent Chapman (Majordomo/Building Internet Firewalls) and the satellite dish of John Gilmore (EFF/Cygnus/Cypherpunks/etc.) put together an engaging hack -- a battery-powered free phone booth using 802.11, VoIP and a satellite IP uplink. This was placed in the desert at the Burning Man arts festival deep in the remote Nevada Black Rock playa, exactly where you wouldn't expect a working phone booth to be. With cheap VoIP people were able to call all over the world. The reactions of people to such incongruous technology were great fun and emotional as well. There's a page about the phone including details of building it and live experiences including totally non-gratuitous photos of naked people using technology. (There, that ought to stress-test my new server!)" -
Burning Man Festival Shows Up In Flight Simulator
Thanks to Wired News for their story revealing that fans of the Burning Man Festival have made a 3D version of the festival in Microsoft's Flight Simulator. According to the official Virtual Playa site, which houses this free add-on for Microsoft Flight Simulator 2002 and 2004, the project "is intended to be an open-ended project that invites participation at various levels... It can be downloaded for home use... or even be used as a design tool for... an artist wishing to show a preview of an installation before it ever gets to Black Rock City." The Wired article also notes that the creator "has built in several Burning Man-esque flying experiences [to Virtual Playa], among them a yellow submarine, a motorized couch and a rainbow-colored ultralight." -
Campzone 2: The Return

A field will be transformed into a high-tech campground with full service, including a 100Mbit network and Internet access for everyone. During 11 days, CampZone will be the home for up to 1200 computer enthusiasts from around the world. The main focus of the event is multiplayer gaming, but there will also be other activities, such as paintball." Are there any recurring high-tech temporary communities on this scale in North America? The nearest thing I can think of is Burning Man, and the comparison isn't all that close, especially when it comes to bandwidth. -

Schoen continues: "This week is also LinuxWorld Conference and Expo in San Francisco. Since many Sklyarov supporters are Linux users, there should be a lot of activity around the conference. Two events have been scheduled this week in San Francisco to take advantage of LinuxWorld:Free Dmitry party and fundraiser, Wednesday, August 29, 7:30p to midnight, 201 Ritch Street, 2nd floor. (This is walking distance from Moscone Center, where LinuxWorld is being held.)
